This past weekend in October, a key training session was held for the staff who will be present at upcoming Kaptiva events. Specifically, it was a training for Coordinators with Kaptiva Sports. The event took place in Madrid, and many people learned the keys to making Kaptiva clinics and events the perfect experience.
Some of our permanent staff at Kaptiva Sports, including Human Resources and some Project Managers, were responsible for organizing this training. Some of the attendees had already taken part in several clinics before, as coordinators or in other roles. Now, they are ready to tackle the events of the new season.

The staff who are part of the Kaptiva Sports clinics
Kaptiva Sports clinics begin in the office. Our Project Managers, together with other departments such as Purchasing, Finance, Sales, Marketing, etc., organize everything from start to finish. All of this is done in coordination with the club in question (Arsenal, Paris Saint-Germain, Bayern, etc.).
In this way, all departments function as one, organizing logistics, staff, training grounds, contact with families, promotional material, etc. Of course, coordinators are involved in all aspects of this organization. They are the most visible face of the clinics, the ones who must have everything under control and who maintain the most direct contact with families in the event of any problems that may arise.
The all-rounders, team leaders, and parent leaders share the tasks of spending time with the children or relatives, as well as keeping an eye on anything other teammates (all-rounders) might need. The athletic trainer is also present in case of any possible injuries to the kids, parents, or our staff.

Everything works like a perfect machine
We’ve been organizing events for many years now. Some of them are new depending on the season, while others have been held for several consecutive years. However, certain things always tend to change, such as the facilities, hotels, and so on. That’s why it’s always important to receive the same updated information from each department prior to every clinic.
Coordinators must be patient, polite, and respectful above all. At Kaptiva Sports, we care deeply about providing perfect customer service to ensure a complete experience. We address every need as much as possible. They must also know how to manage problems and conflicts, since unexpected situations can arise at any clinic, and it’s essential to be prepared to handle them.
That’s why we carry out this training, to ensure that every part of the system works perfectly. It’s important for coordinators to show strong leadership, but also humanity and respect toward their teammates and clients.
